How to quickly migrate data from Excel to HelloClient

All customers imported with today’s creation date

This happens if the column with customer creation date wasn’t specified during import.

1. Re-import the customer database with correct column mapping.
2. Data will update automatically.

Incorrect date or phone number format

Format requirements:

• Phone: +79137000000 (no spaces or hyphens)
• Multiple numbers allowed separated by commas: +79137000000, +79137111111
• Date in Excel: use “Date and Time” format (example: 16.02.2024 14:12:39)
• Ensure Excel cell format for phone numbers is set to Text.

Error: “Expected string length between 1-255 characters”

This error indicates empty lines in the file.

1. Click the arrow → next to the error message.
2. The system will highlight the row requiring completion.

Error: “Canceling statement due to statement timeout”

Occurs when exceeding row limit.

• Maximum file size: 1000 rows
• Solution: split file into parts (max 1000 rows each).

Import File Requirements

Mandatory Fields:

• Name
  Format: Alexey Ivanov
• Phone
  • Must be formatted: +79137000000 (no spaces, brackets or hyphens)
  • Multiple phones allowed: +79137000000,+79051112233
  • Existing numbers will update existing customers. Ensure Excel cell format is set to Text
• Client Type
  • Values: Individual or Company
  • If column missing: all clients default to Individual

Field Mapping

1. Go to Settings → Client Fields
2. If your file contains fields missing in the system (e.g. “Client Address”, “Comment”):
   • Click ”+ Field” in top right corner
   • Create required fields

File Upload

Step 1: Preparation

• Ensure file meets above requirements
• If over 1000 rows - split into parts

Step 2: Import

1. Open Clients module
2. Click More → Upload Data to HelloClient
3. Upload file via Choose File
4. Map file fields to program fields

Key Settings:

• Skip First Row - if file contains headers
• Errors - click arrow → in red row to locate problematic cell

Exporting Clients

Downloading client database from HelloClient is easy.
Steps:

1. Go to “Clients” module;
2. Click “More > Download Data to Device” in top right corner.

An Excel file with client database will download to your device.
