Employee roles

Roles are sets of access rights for company employees. They define what an employee sees in the program and which actions they can perform.

Can different roles be applied to one employee per location?

It is not possible to apply different roles per location. A role is assigned to an employee for the entire company and works the same way in all locations the employee has access to.

What to do if the required permission is missing when creating a role?

Write to the support chat from your account. Describe which permission is needed and for which tasks. The team will check whether a new permission can be added or suggest an alternative solution.

How to change an employee’s role?

Go to settings, the “Employees” section. Select the employee and click the pencil icon in the top right corner. In the “Role” field, select a new role.

How to change the access rights in an employee’s role?
  1. Open the employee’s card.
  2. Click ⋮ in the top right corner → “Configure role”.
  3. In the window that opens, change the role’s access rights and save.

Important: rights are configured through the employee’s role. If the role is shared, the changes will affect all employees with that role.

  • quickly assign the same rights to several employees;
  • save time when adding new employees;
  • protect company and client data;
  • separate responsibilities between employees.

  • Company owner — has full access, can both edit roles and assign them to employees.
  • Employee with the “Edit roles” permission — can create and change roles, but cannot assign them to other employees.
  • Employee with the “Edit employee rights” permission — can assign roles to other employees.

The system has basic roles: Manager and Master. When adding an employee, if the company does not yet have its own roles, you choose which one to assign.

  • Manager — access to payments, access to all orders, a broader set of rights.
  • Master — access only to their own orders, a narrow basic set of rights.

After creating your own roles, an employee’s role can be changed.

  1. Go to: Settings → Employees → “Roles” tab.
  2. Click “+ Role” in the top right corner.
  3. In the settings window, fill in the tabs:
    • “General” — specify the role name (for example, “Manager”, “Master”, “Accountant”, “Cashier”) and description.
    • “Rights” — check the access rights the role should have. See the “Employee permissions” guide for details.
    • “Statuses” — if needed, configure rights by order statuses: the employee will be able to work only with orders in certain statuses. See the “Permissions by status” guide for details.
  4. Save the role.

After saving, the role appears in the roles list and can be applied to employees.

Examples of rights:

  • viewing and editing orders — manager, master;
  • access to financial reports — accountant;
  • working with payments — cashier, accountant;
  • inventory management — manager, master;
  • configuring document templates — accountant, lawyer;
  • managing clients — manager, master;
  • changing order statuses — manager, master.

  1. Go to “Settings” → “Employees”.
  2. Open the required employee’s profile.
  3. On the “General” tab, click the button with the pencil icon in the top right corner.
  4. In the “Role” field, select the required role from the list.
  5. Click “Save”.

Once the role is applied, the employee gets all the rights included in it.

The company owner is the user who created the company in the system. They are automatically assigned the “Owner” role.

The “Owner” role has full access to all sections and settings. It cannot be edited or deleted.

The owner can transfer rights to another employee.

When the owner’s email is changed, only the email is replaced. The rights remain with the current owner.

When transferring rights to another employee:

  • the old email (of the previous owner) stays active, but with limited rights;
  • the new email (of the new owner) gets full access.

Before deleting a role, assign another role from your list to the employees. The system will not allow deleting a role that is assigned to an employee.

The role is deleted for all company locations. After deletion, it cannot be restored.
